As a tutor, you are the subject expert. We trust you to deliver outstanding lessons, engage your students, and design their educational pathway as you see fit. Our role is to handle the admin, scheduling, billing, and client relationships — so you can focus entirely on teaching.

If you ever have questions, need support, or need to vent about a tricky situation, we are always here and happy to help.


Your Tutor Contract

Before your first lesson, Craig will send you a Tutor Contract. This document sets out the expectations Elite Education has of all tutors, defines your working relationship with Elite Education FZE LLC, and protects both parties.

Please read it carefully, sign it, and return it before your first session. If you have any questions about any part of the contract, just ask Craig.


Getting Paid

You will never need to handle payments directly with clients. All invoicing and billing is managed between the client and Elite Education. Your job is simply to log completed lessons on TutorBird — we handle everything else.

Payment Schedule

Payments are made twice per month. If either date falls on a weekend, payment is made the following Monday.

Important

Sessions that are not logged and marked as complete on TutorBird cannot be invoiced and therefore cannot be paid. Please ensure every lesson is recorded on the platform.


TutorBird: Our Platform

TutorBird is the platform we use to manage all lessons, session reports, and invoicing. It is the single source of truth for your schedule and payment record — keeping it up to date is essential.

Your TutorBird Responsibilities

Whether in-person or online, the following must happen for every session:

  • Schedule every lesson on TutorBird before it takes place.
  • Mark each lesson as complete after it has taken place.
  • Write a brief session report for every lesson (see Section 7 for format and examples).
  • Update TutorBird promptly if a session is cancelled, rescheduled, or changed.

Getting Started

Your TutorBird login link will be emailed to you as part of your welcome setup. Video walkthroughs are available in the platform's Help section. If you need a hand getting started, Craig will walk you through it.

Online Lessons

You are free to use any video platform — Zoom, Google Meet, Microsoft Teams, or whatever you prefer. Send the link to clients however works best for you, provided it is done in good time and is easy for them to access.


Communicating with Clients

Strong, professional communication is one of the foundations of a great tutor-client relationship. Here is what we ask of all tutors.

Professionalism

Maintain a professional, respectful, and clear tone in all interactions — written, verbal, and in person. If a situation with a parent or student is causing frustration, bring it to Craig first. He will handle it on your behalf. You focus on the teaching; we handle the awkward conversations.

Scheduling & Session Confirmations

  • Confirm upcoming sessions with clients at least 24 hours in advance.
  • TutorBird automatically sends reminder emails to both you and the client 24 hours and 1 hour before each session.
  • Any changes must be communicated to the client as soon as possible and updated on TutorBird.

Cancellations

If a session needs to be cancelled or rescheduled:

  • Notify the client immediately and let Craig know at the same time.
  • Provide a brief reason and offer alternative times where possible.
  • Update TutorBird to reflect the change.
A note on emergencies

Life happens — we completely understand. Just communicate as soon as you are able to and we will sort it from there.

Honesty with Clients

Be realistic and upfront about your students' progress. If an A* is unlikely, do not promise one. Flagging concerns early protects the student, maintains trust with the family, and safeguards Elite Education's reputation.

If you are finding it difficult to relay difficult news, or a parent is becoming demanding — come to Craig. He will take it from there. You should never feel alone in managing client relationships.


Client Feedback

TutorBird automatically requests feedback from clients after every few sessions. You do not need to do anything to set this up — it runs automatically in the background.

If any concerns are raised, Craig will review the feedback and reach out to you directly. Any issues will always be discussed with you openly and constructively.


Session Reports

After every lesson, you are required to complete a brief session report on TutorBird. This keeps clients informed, creates a record of progress, and helps us support you if any issues arise.

What to Include

  • What was covered in the session
  • The student's progress, including any areas of strength
  • Any areas of difficulty or topics that need further work
  • Any homework or resources provided

How Long?

Two to three sentences is perfectly sufficient. A short bullet list is equally acceptable. You are welcome to use AI tools such as ChatGPT to help write reports efficiently — just ensure the content accurately reflects the session.

Example 1 — Prose format

"Today's session covered factorising quadratic equations. Johnny made great progress when the leading coefficient was one but found it more challenging when it differed. I have provided support material and practice exercises for him to work through before our next session."

  • Good progress overall; struggling when the leading coefficient is greater than 1
  • Provided a video walkthrough, written notes, and practice exercises to complete before the next session

Support & Key Contacts

You are never on your own at Elite Education. Here is a quick reference for common situations:

Difficult parent or client conversation Bring it to Craig — he will handle it on your behalf so you can stay focused on teaching.
Need to cancel or reschedule a lesson Notify the client immediately and copy Craig at the same time.
A student welfare concern Contact Craig immediately — do not wait.
TutorBird questions or technical issues Craig can walk you through the platform or troubleshoot with you.
Pay or contract questions Raise it directly with Craig.
